This policy explains how your and your child's information is handled when using this app.

Information We Collect

• Account information such as name, email, user role, and profile photo.
• Child information such as name, profile, diagnosis/needs, and session schedule.
• Therapy records including objectives, session notes, reports, attendance, and media (photos/videos).
• Communication messages between therapists and parents.
• Minimal technical information for system operations (e.g., basic access logs).

Sensitive Personal Data

Some of the information we collect relates to a child's health, diagnosis, or developmental condition. Under Malaysian data protection law this is classified as sensitive personal data. We only collect and process it with the explicit consent of the child's parent or legal guardian, given through this app.

How We Use Data

• Manage therapy sessions, reports, and child progress communication.
• Display records and progress to authorized users.
• Maintain account security and system stability.

Data Sharing

Data is shared only with authorized parties within the organization (therapists, admins, superadmins) and service providers such as Google Cloud for storage and processing. We do not sell personal data to third parties.

Storage, Security and Location

Data is stored securely using Google Cloud, in the Asia Southeast (Singapore) region. This means your child's data is stored outside Malaysia (a cross-border transfer). All connections are encrypted using HTTPS, and access is controlled by user role. We take reasonable steps to protect information from unauthorized access.

How Long We Keep Data

We do not keep personal data longer than necessary for the purposes for which it was collected. When data is no longer required, it is securely disposed of.

Your child's data belongs to Kayden Centre. The retention periods are determined by Kayden Centre in line with its operational needs and any applicable record-keeping and legal requirements. Some records, such as therapy session records, may be kept longer to support continuity of care and reporting to specialists.

You may request access to, or a copy of, your child's records at any time. You may also request deletion, subject to Kayden Centre's record-keeping requirements.

Your Rights

• Request access to your child's data.
• Request correction or updates to inaccurate information.
• Download a copy of your child's records at any time.
• Request deletion of data, subject to clinical record-keeping requirements.
• Withdraw your consent at any time. Withdrawal does not affect processing already carried out before it.

Children's Data

Children's data is handled carefully and is accessible only to authorized parties within the organization and to the child's parent or guardian. As the child is under 18, consent is provided by the parent or guardian. When you agree in the app, we record that you have confirmed you are the child's parent or legal guardian, along with the date and policy version of your consent.

Policy Changes

We may update this policy from time to time. Changes will be shown in the app.
